Look at emails, inquiries, testimonials, or even messages you get on social media. Your clients are constantly giving you clues.

Step 3: Define Your Tone

Your tone can shift slightly depending on the situation, but your voice stays consistent.

Here are examples of tones you might choose:

  • Direct & bold: “Let’s cut the noise and build a brand that turns heads.”
  • Warm & supportive: “I’m here to guide you every step of the way.”

Pick a primary tone and 1–2 secondary tones for flexibility.

Step 4: Create Your Brand Voice Statements

These are short descriptions that help guide your writing and keep it consistent.

Examples:

  • We sound like: A confident, encouraging guide who brings clarity and calm.
  • We don’t sound like: Formal, corporate, stiff, or overly salesy.
  • We write like: A conversation with a trusted friend.
  • We avoid: Jargon, clichés, and complicated explanations.

These statements become your filter for all content creation.

Step 5: Write a Sample Paragraph in Your Brand Voice

This exercise pulls everything together.

Try writing a small introduction, like you’re greeting a new client:
